How to use promotional codes in InnConnect

In order to use coupon codes within inngenius, a coupon code must be created in InnConnect.

Please follow the steps to create coupon codes. You can create multiple coupon codes and enter these codes in InnGenius automatic email templates to be sent out automatically.

Go to InnConnect Coupons, hit “Add new Coupon” key to get started.

Enter a date period for the coupon to be active

If “Min Total” is left empty, system will apply the coupons to all bookings within that date period.

Your guests will be able to enter the coupon codes in your booking engine reservation page, shown below.

After validating the coupon code, a discount amount will be shown where the coupon code box is, as shown below.

Every technology investment needs to ultimately translate into positive financial outcomes. Otherwise, what’s the point? Guest expectations, particularly with respect to anytime, anywhere mobile engagement and information access, are through the roof. Hoteliers face a variety of other challenges, too, from rising labor costs and onerous OTA commissions to competitive threats from disruptive business innovation, home-sharing models being an obvious example. In short, the world is changing fast and hoteliers cannot afford to sit back and relax.

Perhaps the biggest challenge — and, also, the biggest opportunity — relates to the increasingly large role that technologies play in enhancing the quality of the guest experience. Foremost amongst these technologies are next-generation cloud property management systems (PMS). Most hoteliers who haven’t already upgraded to a cloud platform plan to do so shortly, if only to keep pace with others in the same competitive set. And while even the most advanced cloud PMS cannot address all the challenges hoteliers face, it can address many of them while setting the stage for continuous performance improvement.

The allure of the cloud is undeniable. Oft-cited benefits include elimination of on-site server hardware (and the day-to-day maintenance that goes with it) and software that is continually updated with the latest features and functionality, without the need to purchase and install each new release. Also, with a cloud solution it becomes much easier to integrate data from different sources and integrate other technologies. What’s more, a cloud solution usually allows for nimble technology stacks. If part of the integrated system becomes obsolete or fails, for whatever reason, new software can be readily plugged in to replace it.

Hotels have come to embrace the cloud somewhat belatedly compared to other industries. Some of the “blame” for the lagging cloud movement lands squarely with the hotel brands themselves. On-property legacy system solutions, including proprietary technology stacks built by internal IT departments for

exorbitant sums of money, have, ironically, become a hinderance to achieving optimal hotel performance. Having underestimated the need to migrate their product road map to the cloud, and hamstrung with legacy installations across thousands of customers, some major solution providers are also to “blame.”

As if to make up for lost time, hoteliers are now upgrading to next-generation cloud solutions in record numbers. Today nobody questions the cost savings that come from streamlining operations across all hotel functions and all parts of the property (or properties). By now, everyone can agree that having a cloud PMS is a prerequisite to improving guest satisfaction, speeding guest services — from check-in and housekeeping to concierge and maintenance response times — and enabling guest-facing interfaces, including self-service options. Hoteliers know that only by harnessing the power of data and analytics — core features of a cloud PMS — can they present guests with relevant and personalized offers, messages and treatments, further engendering satisfaction and loyalty.

But buyer beware: Not all cloud solutions billed as “next-generation” are worthy of that description. For that matter, not all cloud solutions are even truly cloud solutions. Fact is, some legacy on-premise solution providers, eager to jump on the cloud PMS bandwagon, engaged in what is commonly known as “cloud-washing.” Even today, solutions billed as cloud-based may not, in fact, be true cloud solutions. It is important to understand the difference between a “true cloud solution” and a “fake cloud solution.” Whereas the latter is built on software originally designed to run on-premise, a true cloud solution is built from the ground up, coded to perform as a fully-hosted cloud solution and optimized for tablet and mobile use. The solution provider hosts the solution across hundreds of servers and with multiple levels of data redundancy in a multi-tenant “pure cloud’ environment. Customers typically access the same solution via an internet browser, allowing for instantaneous product upgrades. A customization platform maintains property-specific changes following these software upgrades so that customers can gain immediate access to the latest functionality without having to re-implement custom changes and integrations.

Importance of having a booking engine

Independent property owners can now no longer ignore the need for an integrated online booking engine. With such a large proportion of business and leisure travel researched and booked online, if your property does not have an online presence then your cannot be found. Plus operators should be leveraging their property website by integrating an online booking engine to drive their own direct bookings and control a greater share of their business.

An online hotel booking engine enables guests to book directly through the website of the hotel, providing the operator with all the guests details, higher revenue and reduced commission costs.

Today in hospitality there is an ongoing conversation around the over reliance on OTAs (Online Travel Agents) and the dominance that they have over the distribution of online reservations. The OTAs offer a valuable service, as a key distribution partner for hotels, but at a cost – both in terms of the commission that hoteliers pay, but also that hotels are losing the ability to engage directly with a guest pre and post stay.

Even though the OTAs vastly outspend hotel operators in terms of marketing activity and brand awareness, customers will in addition to using the OTAs site, look at an individual hotels website to search for more or local information whilst making a shortlist of booking options.

As end consumers we all tend to have a “deal mentality” believing if we form a direct relationship and cut out “the middle man” we can get a better deal. A hotel website is the ideal platform to do this. It yields the lowest cost of customer acquisition because of the direct interaction and an integrated online booking engine provides a source of direct bookings that can replace having to rely on the OTAs.

By receiving a direct online reservation, there is the financial benefit from spending less on commission payments plus operators are able to own the direct on-going relationship to use for their own advantage.

As an independent operator it would be great of course to have the majority of bookings come direct without paying commission – but in todays marketplace it makes sense to balance direct business along with reservations from the third party OTA channels. You are able to manage and spread the risk by sourcing reservations from multiple channels, keep costs down and “turn the tap on” for OTA business when the time is right and the conditions dictate it. 

If operators chose to turn off the reservations from OTAs based purely on cost considerations then there is the risk that a hotel could miss out on the product exposure offered by the OTA websites. Guests frequently use these sites for research purposes and an OTA is likely to have far better brand awareness compared to an independent property and subsequently a larger volume of visitor traffic. Awareness that provides access to potential guests that an operator would not normally get exposure to.

Independent hotel operators are becoming far more proactive in developing their own direct booking strategy, using a combination of marketing activity and online booking software.

Any reduction in the OTA commission costs will go directly to the bottom line as profit. Plus often the booking value of a direct reservation can be higher than that of an OTA booking.

OTA stands for: Online Travel Agency.

OTAs are online companies whose websites allow consumers to book various travel related services directly via Internet. 
They are 3rd party agents reselling trips, hotels, cars, flights, vacation packages etc. provided / organised by others.

Travel shopping via online agencies has become very popular nowadays. Especially in the last minute segment and also because of the frequent usage of the smartphones. Today consumers are on-the-go and the advantage of a booking engine and the reservation solutions provided by the OTAs is that it offers instant payment and booking confirmation.

Examples of the most commonly known OTAs are:

What is the meaning / definition of PMS, in the hospitality industry?

PMS stands for: Property Management System. It is a local or a cloud based hotel administration system used for reservation, availability and occupancy management, check-in/out, incidental, guest records, report generation etc. This application is used in-house (in an individual hotel) to control the onsite property activities.

The PMS can be connected with other applications such as the hotel point-of-sale (POS) or the CRS. The interface to a CRS is an additional option in order to transfer availability, reservations and guest profile information.

Additionally, various interfaces are available to create further links to internal and external systems such as room key systems, restaurant and banquet cash registers, minibar, telephone and call centers, revenue management etc.

PMS is also known as Hotel Operating System (Hotel OS).

What is channel management in hospitality

What is the meaning / definition of Channel Management in the hospitality industry?

Channel Management (also Multi-Channel-Management) refers to the techniques and systems used by hotels in line with their distribution policy. This management method includes content management as well as data reconciliation in various distribution channels. It means the updating of the hotel information, of room rates and availabilities across all distribution channels, such as hotels website, third parties (OTAs, IDS, ADS) and the CRS/GDS.

Effective channel management solutions should improve efficiency by providing a centralise way to control multiple channels. 
In other words: Using a Channel Manager is a smart way to save time and avoid errors. Restaurant POS functions added.

You can now customize your retail items with extra additions.  Below screenshot samples are for a Veggie Pizza topping, however same data fields can be used for any retail item and can be customized according to the customers needs. Please follow the steps to create customizable retail items.

  1. Create a new product with custom topping groups. Min.Selection box enforces user to enter a minimum number of garnishes.
  2. Toppings must be created with the sales price and a default quantity must be entered. 

Below screen will be displayed while taking an order. This is the window where user must add the garnishments to the order. Green Accept button at the bottom of the window finalizes this order.

 

Final order screen shows all the extra toppings of the item ordered and the adjusted total due.

07/30/2018 InnGenius Update (Payment Gateway Card Pre authorization) Authorize.net Accounts Only

Properties with Authorize.net Payment Gateway are now able to pre authorize credit cards

for all reservations. (Channel reservations, Phone reservations, walk-ins etc.)

In order to use this function please go to Admin—>Settings—>Payment Gateway Settings and put a check mark to enable pre-authorization.

While in the payments screen simply click on Pre authorize Credit Card button to place a hold on guest’s credit card.

When next window opens up you can either read the credit card details from reservation file or enter a new card detail on the right side. After filling out the information click Pre-authorize.

After a successful pre authorization is made credit card window will be closed and you will be returned back to payments screen, where you can see the pre authorized amount and the time that the hold is placed on the payment card. Within that time period you can capture the whole amount, a lesser amount or take partial payments to settle the balance.

You can also place additional pre authorization hold for incidentals or extra charges. Those will be listed in the same area as well. Screenshot below shows the list.

Please keep in mind that at this point guest’s credit card hasn’t been charged and balance is still due. It’s hotel responsibility to setup a procedure to finalize these pre authorization holds in a timely manner. Best time of finalizing these transactions are during night audit or guest check-out.

Screenshot below shows the outstanding balance with partial other types of payments taken with pre authorization hold is still in place.

In this scenario  when you click on Capture button to finalize the sale you will be asked to confirm the amount to capture. At this point user must compare the amount to the current outstanding balance and make adjustments as necessary.

After a successful transaction, pre authorization list will show the transaction as complete. Screenshot below shows the transaction.

Pre authorization list allows properties to pre authorize multiple reservations at once.

Simply put a check mark on the reservations that you would like to pre authorize and click Pre-authorize button.

This will place a hold on every guest’s credit card for 100% of the balance.

We have over 50 reservations missed with booking.com down. Please CHECK your reservations with booking.com, send a block to booking.com to avoid over-bookings.

They are having a MAJOR shut down, NOT to be taken lightly. This requires IMMEDIATE attention on your behalf to monitor reservations not coming in from booking.com and/or send a block to them.

Booking.com is experiencing an issue with their service today. As of 12:40 CEST reservation messages are being returned empty and also fallbacks to properties doesn’t include any information.

They put up a reservation hold as of 14:26 CEST in order to prevent reservations to fall back to emails. Reservations made may be retrieved by inngenius few hours later.

We  continue to request reservations as usual, We will be receiving the reservations again as soon as the issue on Booking.com side is fixed.

More information will follow via this news feed at a later stage once they have analyzed the full scope.

  • 4/26/2017 We made a new improvement that allows InnGenius to store ALL credit card information. Before, when scanning the credit card, it used to change the name. Now it will store all the correct information under credit card details. You can still add more cc info by adding add in the credit card box.

  • 3/28/2017 Report bad credit cards and no shows to booking.com by clicking on payments, and hitting report invalid credit card. This will also allow you to report no shows, so you don’t get charged commission, and will also automatically notify the guest to provide a second credit card that works

  • 2/3/2017 Forecast report has been made, please access it by going into Admin, user levels, permissions, then checking the reports to be added to your system, and always remember to hit “ok” or “save” to save all the changes, and refresh to see the changes.
  • 2/3/2017- Also, the minimum stay can now be changed without re-doing your rates WOOHOO!   • 2/2/2017 Increase your hotel occupancy: Set your booking engine in your innconnect to mobile devices, so customers can book their room on their phone.
  • Make sure your website is up to date and working. Have high quality photographs posted on both your website and booking engine (innconnect) and make sure they are recent. Hiring a webmaster would be worth the money and effort
  • Post your hotel (you can add innconnect link to these) to media like facebook, twitter, Youtube, Pinterest for Hotels, Instagram,Trip Advisor, etc..  Try to get as many likes on your facebook page. If a customer seems happy, you can offer them to “like” your page and you will return the favor to their business (if they have a business page) Use hashtags for your tweets and other social posts. For example #valentine’sday
  • Make sure you have all the attractions listed on your website and or booking engine, all your neat features, and maybe even some positive reviews on your website.
  • Respond to ALL reviews (good and bad) in a positive way. For example: If you get a bad review, respond, “thank you for your review. We are very sorry we didn’t meet all your expectations and would like to make it up to you. Our main goal is that we want all of our customers to be extremely satisfied and happy. Please contact us so we can address the situation promptly, and thank you again.”  This will show customers that you care about them, and are very understanding to their needs. Even a bad review can be a good review with a response like this.

  • 12/19/2016 – We now have added a mandatory field for booking extra’s on your booking engine. This means, that if you want to list something separately on your room type, and have it be mandatory instead of a choice by the customer, you can do this by clicking on the mandatory field of the extra’s. This way, if you want an extra such as breakfast to be listed separately and be mandatory on the booking engine, now this can be done. This feature is in your innconnect, booking extra’s.  Remember, this is only reflecting on your own booking page on your own website. Extra’s will still need to be set up separately on the channels such as booking.com.

  • 11/6/2016 DAYLIGHT SAVINGS TIME CHANGE: To move back an hour in your system, go to Admin, settings, and at the very top see your  gmt time zone and change it back one hour. For example, if your GMT says -5, change it to -4. Happy daylight savings day 😀

  • Mode of arrivals can be written down in the arrival note and has been replaced with inbound marketing.
  • Extra fields have been added for more than one credit card number to be added. Click on add  card in reservation card to add more credit card numbers
  • Add new guest fields have been added to the reservation card so you can enter more than one guest name in the reservation card.

*One month free referral rules terms and conditions:

  1.      Referred hotel must have stayed a period of length to cover the one month of referred hotel. For example, if the hotel’s monthly payment is 100 USD a month, and refer a hotel that is 35 USD a month, the free month will be rewarded on the third paid month of referred hotel.
  2.      Hotels that are referred can not fall inside of ownership, relatives, franchises or any other affiliated business.
  3.      Hotel that is referring another hotel can not redeem cash prize or any other form of payment other than one free month.
  4.      There must be written proof that the referral was referred by said hotel.
  5.      Any discrepancies found in the rules listed here will result in loss of free month.
  6.      Referring hotel owner must be presently a current customer at the time of referring the referred hotel.
  7.      Referral prize must be agreed between hotels that all rules are in fact true and correct.
  8.      Free month can not be applied to a different hotel that will sign up in the future but only to the existing hotel that has referred a hotel at that time for that hotel only.
  9.      If rules listed have reasonable doubt and proof of being broken, the free month can be retracted at any time by an Inngenius employee.
  10.   A hotel can not claim a prize for referring an existing hotel of more than 1 month.
  11.   A hotel must give written notice within 30 days of referred hotel’s sign up that they have referred and referred hotel must give written notice within 30 days of sign up that they were referred to [email protected] .
  12. Hotel can not receive a free month with any other additional leeway’s such as over-extended free trials, extensions for late payments, or any other free time granted within six months. Free month can be applied after six months of any type of extensions granted.
  13. Referring hotel must have at least 3 consecutive paid months to qualify for a free month. If a hotel is referred during the first three months, the free month will be applied to the  referring hotel after the third paid month, allowing their fourth month to be free as long as their fourth month does not exceed referred hotel’s monthly payments.
